Introduction

Welcome to Easy Expense (the "App"), a mobile application that helps freelancers, contractors, small businesses, and professionals scan receipts, track expenses, create reports, and prepare records for tax season.

Cyborgate ("we," "us," or "our") operates the App. This Privacy Policy explains what information we collect, how we use it, who we share it with, how long we keep it, and the choices available to you. It is intended to satisfy transparency requirements for apps distributed through the Apple App Store, including App Store Connect privacy labeling.

By installing or using the App, you agree to the practices described in this policy. If you do not agree, please do not use the App. Your use is also governed by our Terms of Service (EULA).

Section 2

Summary of Data Practices

  • On-device expense data: Receipts, expenses, categories, reports, mileage entries, and preferences are stored primarily on your device.
  • Account data: If you sign in with Apple or Google, we process account identifiers, display name, and email via Firebase Authentication.
  • Cloud profile: A limited profile may be stored in Firebase Realtime Database under your user ID for sync and account features.
  • AI receipt scanning: When you scan or upload a receipt, the image may be sent to our AI processing service solely to extract expense fields (merchant, date, amount, and related text).
  • Analytics: We may use Firebase Analytics for app usage events (for example opens, screens, scan success/failure).
  • Purchases: Subscriptions are processed by Apple. We do not receive your full payment card number.
  • No sale of personal data: We do not sell your personal information or receipt images for advertising.

Information We Collect

Depending on how you use the App, we may process the following categories of data:

  • Account information: Name, email address, user ID, authentication provider (Apple / Google), and optional profile photo URL from the identity provider.
  • Expense content you provide: Vendor names, amounts, dates, categories, payment methods, notes, tax-deduction flags, report names, client and company fields, and receipt images or files you capture or upload.
  • Device and usage data: Device type, OS version, app version, language, crash diagnostics (if enabled by the platform), and analytics events.
  • Identifiers: Firebase installation / app instance identifiers and similar technical IDs used for auth, analytics, and reliability.
  • Purchase status: Whether Premium is active (based on App Store subscription / StoreKit entitlement checks). Payment details stay with Apple.
  • Support communications: If you email us, we process the content of your message and contact details.

The App may request camera, photo library, and location permissions for scanning receipts, uploading images, and mileage-related features. Permission dialogs are controlled by iOS; you can revoke access in Settings.

How We Use Information

  • Provide receipt scanning, expense tracking, reports, and related features.
  • Authenticate you and maintain your account and Premium entitlement status.
  • Extract structured fields from receipt images via OCR / AI processing.
  • Sync limited profile data and improve product reliability and performance.
  • Respond to support requests and enforce our Terms.
  • Comply with legal obligations and protect against fraud or abuse.

We do not use the contents of your receipts to build advertising profiles or sell them to data brokers.

Section 5

AI Receipt Scanning & Processing

When you choose to scan or upload a receipt, the App may transmit the image (and related request metadata such as language) to our AI / OCR processing endpoint to return suggested fields (for example merchant, date, total, line items, and category hints). You can review and edit results before saving.

Processing is performed for the purpose of providing the feature you requested. Images are not sold and are not used to train third-party advertising models by us. Temporary processing may occur on infrastructure we operate or control for the AI gateway service.

Third-Party Services

We use trusted service providers to operate the App:

  • Apple Inc. — App distribution, Sign in with Apple (if enabled), In-App Purchases / StoreKit subscriptions, and device-level privacy controls.
  • Google LLC / Firebase — Authentication, Realtime Database (cloud profile), and Analytics. See Google's privacy documentation for Firebase products.
  • Google Sign-In — If you choose Google login, Google processes authentication data under Google's terms and privacy policy.
  • AI / OCR processing service — Processes receipt images you submit for scanning solely to return extracted expense fields.

These providers process data on our behalf or as independent controllers where you interact with their sign-in or store systems. We require appropriate safeguards consistent with the purpose of the App.

Section 7

Subscriptions & Payments (App Store)

Premium features (for example unlimited scans and related upgrades) may be offered via auto-renewable subscriptions or other In-App Purchases through the Apple App Store. Payment is charged to your Apple ID. Apple processes payment information. Manage or cancel subscriptions in your Apple ID subscription settings.

We may receive non-sensitive purchase status (active / expired trial, product identifiers) needed to unlock features. We do not store your full credit card number.

Section 8

Data Storage, Retention & Security

  • On device: Expenses, receipts, and settings are stored locally using device storage technologies (for example AsyncStorage and file storage for images).
  • Cloud: Account profile fields may be stored in Firebase Realtime Database under your user ID.
  • Retention: We retain cloud account data while your account is active. Local data remains until you delete it, clear app data, or uninstall. Scan requests are processed for the duration needed to return results.
  • Security: We use industry-standard measures such as HTTPS for network traffic and platform security features. No method of transmission or storage is 100% secure.
Section 9

Your Rights & Choices

  • Access & export: You can view expenses in the App and export data (for example CSV reports) where the feature is available.
  • Correction: You can edit expense fields and report details in the App.
  • Delete account & data: Use Settings → Delete account & data to request deletion of your Firebase account, cloud profile, and local app data on that device. You may also uninstall the App to remove local data.
  • Permissions: Control camera, photos, and location in iOS Settings.
  • Analytics / tracking: Where Apple App Tracking Transparency or system privacy settings apply, we respect platform controls.

Depending on your location (for example GDPR / UK GDPR, CCPA), you may have additional rights to access, delete, restrict, or object to certain processing. Contact us at contact@cyborgate.uk to exercise these rights. We may need to verify your request.

Section 10

Children

The App is not directed to children under 13 (or the minimum age required in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has provided us personal data, contact us and we will take appropriate steps to delete it.

Section 11

International Transfers

Our service providers may process data in the United States or other countries. Where required, we rely on appropriate safeguards (such as standard contractual clauses or provider certifications) for cross-border transfers.

Section 12

Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated version at this URL and change the "Last Updated" date. Material changes may be highlighted in the App or App Store release notes where appropriate. Continued use after changes become effective constitutes acceptance of the updated policy.
